Using Zoom with Nikki’s Events

Connect Zoom once, and every online or mixed event you create gets its own Zoom meeting automatically. The joining link is kept private and goes only to people who paid for an online seat. This guide covers adding the app, using it, and removing it.


What the integration does

  • Creates a scheduled Zoom meeting when you save an online or mixed event without pasting a link.
  • Names the meeting after the event and sets its date, time, time zone, and length from the event.
  • Turns on the waiting room and allows attendees to join before the host.
  • Updates the meeting when you change the event’s title, date, or time, until the first paid registration.
  • Shares the joining link only with attendees who paid for an online seat. It never appears on the public event page.

Permissions it asks for

The app deletes a meeting only when you cancel or delete the event it belongs to. It never reads your recordings, transcripts, chat, contacts, or participant lists, and it never touches a meeting it did not create. The Privacy Policy explains how Zoom data is stored and protected.

Before you start

  • A host account for events.thevisionsofhealing.com. Host accounts are set up for you. Email info@claytonmethod.com if you need one.
  • A Zoom account that you can sign in to and that is allowed to schedule meetings.
  • A paid Zoom plan is recommended. Free Zoom plans limit meetings with three or more people to 40 minutes.
  • If your Zoom account is managed by an organization, your Zoom admin may need to approve the app before you can add it.

Adding the app

  1. Go to events.thevisionsofhealing.com/host/sign-in and sign in with your host email and password.
  2. Select Settings in the top bar.
  3. In the Zoom section, select Connect Zoom. You are taken to Zoom.
  4. Sign in to Zoom if asked, using the account that should own your event meetings.
  5. Review the permissions listed above and select Allow.
  6. Zoom sends you back to Settings, which shows “Zoom connected.” The Zoom section now reads “Connected as” followed by your Zoom email.

Connecting links one Zoom account to the portal. To switch accounts, disconnect and then connect again with the other Zoom account.

Using the app

Create an online or mixed event

  1. On your events list, select Create event.
  2. Choose Online or Both (in person and online) as the format.
  3. Enter the event name, date, start and end time, and time zone.
  4. Leave Meeting link empty. This tells the app to create the Zoom meeting for you.
  5. Add the price and capacity, then select Publish event or Save as draft.

The meeting is created on your Zoom account as you save, and its link is stored with the event. You will see it in your Zoom meetings list under the event’s name. If you leave out the end time, the meeting is set to 60 minutes.

Use your own link instead

Paste any meeting link, from Zoom or another tool, into Meeting link before saving. The app uses your link as it is and does not create a Zoom meeting.

Edit or reschedule

Change the name, date, or time and save. The app updates the same Zoom meeting, so the link stays the same. After the first paid registration, the date, time, format, and link are locked to protect attendees, and the Zoom meeting is no longer updated. Make any later changes directly in Zoom and let your attendees know.

How attendees get the link

Attendees who pay for an online seat receive the joining link by email. It is never shown on the public event page or to in-person attendees. Because the waiting room is on, you admit people when the event starts.

Removing the app

Step 1: Disconnect in Settings

  1. Sign in at events.thevisionsofhealing.com/host/sign-in and open Settings.
  2. In the Zoom section, select Disconnect.

This revokes the app’s access at Zoom and immediately deletes your Zoom tokens, user ID, and email from the portal. New online events will no longer create Zoom meetings.

Step 2: Remove the app from your Zoom account

  1. Sign in to the Zoom App Marketplace.
  2. Select Manage, then Added Apps.
  3. Find Nikki’s Events and select Remove, then confirm.

If Nikki’s Events is no longer listed, disconnecting in Settings already removed it. If you remove the app in Zoom without disconnecting first, Zoom revokes its access at once and notifies the portal, which deletes your stored Zoom tokens, user ID, and email automatically.

What happens to your meetings and data

  • Meetings the app already created stay in your Zoom account and keep working. Delete them in Zoom if you no longer need them.
  • Links already sent to attendees keep working until you delete or change the meeting in Zoom.
  • Your events and registrations stay in the portal. Email us if you would like them deleted.

Troubleshooting

  • Settings shows an error code after connecting. The support page explains each code.
  • No meeting was created. Check that Settings shows Zoom as connected and that the meeting link field was empty when you saved.
  • The meeting did not update. The event has a paid registration, so its timing is locked. Change the meeting in Zoom.
